Imperial PFS is hiring a Licensing Specialist to join our growing Legal & Regulatory team!

This is a full-time, direct-hire role and the hours are Monday–Friday 8:00 AM – 5:00 PM. This is a hybrid position and we are considering candidates based in the Kansas City metro area.

The Licensing Specialist plays a critical role in ensuring IPFS meets all legal and regulatory requirements related to licensing and reporting. This role is responsible for preparing and submitting licensing applications, managing renewals, maintaining accurate records, and supporting compliance through timely, accurate filings. The Licensing Specialist ensures that all documentation, submissions, and reporting obligations are completed consistently, accurately, and on time to support operational continuity across the organization.

Key Responsibilities

• Prepare, submit, and monitor applications for new licenses and permits to ensure full regulatory compliance.
• Gather, organize, and validate all supporting documentation required for state-specific licensing submissions.
• Review all filings for accuracy and completeness, ensuring that all regulatory requirements and deadlines are met.
• Manage the full license renewal process, including tracking expiration dates and submitting timely renewal applications.
• Establish and maintain a comprehensive tracking system for all licenses, permits, and related records.
• Obtain, prepare, and submit internal reports—such as production, financial, or compliance-related reports—to state or regulatory licensing authorities.
• Identify process improvements related to tracking, documentation, or submission quality.
• Support internal teams by providing clarity on licensing requirements, timelines, and reporting needs.

Key Requirements

• Bachelor’s degree completed, paralegal certificate completed, or equivalent experience
• 2+ years of administrative work experience
• 1+ years of basic financial reporting experience strongly preferred
• Excellent verbal and written communication skills
• Exceptional attention to detail and accuracy
• Strong organizational skills, with the ability to manage multiple deadlines
• Proficiency with Microsoft Office Suite
• Ability to work independently, maintain confidentiality, and manage sensitive information
• Prior experience in licensing, compliance, regulatory affairs, or an administrative legal environment (preferred)
